How FileThat works for agents
Making Tax Digital for Income Tax has applied since 6 April 2026 to sole traders and landlords with qualifying income over £50,000. It reaches £30,000 in April 2027 and £20,000 in April 2028, so most practices will see their Income Tax clients join over the next two years, alongside the VAT clients already filing digitally.
You sign up as an agent with your Agent Reference Number and connect FileThat to HMRC. One HMRC sign-in can cover Agent Services, VAT and Self Assessment, and that connection is used for every client you act for.
Each client is an organisation in FileThat with its own records. You switch to a client, file for them, and switch back to the Client Portal, which shows where every client stands.

Getting set up
Sign up as an agent
Turn on "Are you an agent?" when you register and enter your Agent Reference Number. You start on the Client Portal.
Connect to HMRC
Sign in to HMRC once and choose Agent Services, VAT and Self Assessment together, so you can request authorisations and file.
Get authorised
Send a request with the client's National Insurance number and postcode, or VAT number and registration date. FileThat gives you HMRC's link to send to your client.
Add the client and file
Register the client in FileThat, with their organisation if you like, then file for them whenever a deadline comes round.
Working with your clients
Their own login
When you register a client, FileThat emails them a login of their own. They can upload receipts, see their records and keep their details up to date. Filing stays with you.
Query a record
Flag a record you have a question about and the client is emailed. When they answer, you are emailed back, and the comments stay with the record.
Chase in bulk
Select clients and send them a reminder in one go, or export every flagged record as a spreadsheet.
Checks you control
The portal never asks HMRC anything when it opens. You choose when to check, and FileThat asks about five clients at a time, because HMRC limits how fast client data can be requested.

£2.99 per filing
Each new quarterly update or VAT return that is not a NIL return costs one credit, at £2.99, whatever your clients earn. NIL VAT returns, annual submissions, final declarations and amendments are free.
The agent price starts once HMRC confirms you
The £2.99 price applies once you have connected through HMRC Agent Services. Until then you pay the same as an individual. Every new account, agents included, starts with 4 free credits.
One balance for the practice
Credits come off your account whichever client you file for. Agents are not capped: the £50 a tax year cap is for individuals filing their own returns.
One client at a time, for now
You register clients one by one, and each agent account is a single login. There is no limit on how many clients you add.

Is FileThat MTD software for accountants?
Yes. Agents get a Client Portal, an Obligation Calendar and HMRC client authorisation, and can file VAT returns, quarterly updates, annual submissions and final declarations on a client's behalf. FileThat is recognised by HMRC for Making Tax Digital.
How much does it cost for agents?
£2.99 for each new quarterly update or VAT return that is not a NIL return, once you have connected through HMRC Agent Services. The price does not depend on your clients' income. NIL VAT returns, annual submissions, final declarations and amendments are free, and there is no subscription.
Is there a limit on the number of clients?
No. You can add as many clients as you act for, and you only pay for the filings you make. There is no per-client fee, no tier based on client numbers and no monthly charge for the Client Portal or the Obligation Calendar.
How do I get authorised to act for a client?
From FileThat you send HMRC an authorisation request, using the client's National Insurance number and postcode for Income Tax, or their VAT number and registration date for VAT. FileThat gives you HMRC's link, which you send to your client to accept.
Can my clients log in too?
Yes. When you register a client, FileThat emails them their own login. They can upload receipts, see their digital records and answer any record you have flagged. They cannot file: submissions to HMRC stay with you, as their agent.
Does FileThat check my clients' deadlines automatically?
Not in the background. The Client Portal and the Obligation Calendar show what FileThat last heard from HMRC, and you press Check when you want fresh figures. It asks about five clients at a time, because HMRC limits how quickly client data can be requested.
Can I import my client list?
Not yet. Clients are added one at a time, with their name, email and, if you like, their organisation and National Insurance number or VAT number. Your authorisation requests to HMRC are also made one client at a time.
